KITASA TOURS TERMS AND CONDITIONS

I. Who we are

Kitasa (Kilimanjaro Tanzania Safari) is a local tour company based in Moshi Kilimanjaro Tanzania. The best tour company that satisfies your need, as we specialized in all type of tourism such as Mountains climbing, Safaris, Day trips and Cultural tourism, etc. That’s widening your knowledge as it provides almost every need in tourism sphere.
As we are the best in tourism services, we will ensure that our clients obtained sustainable environment, memorable experiences and the highest standard services.
The experienced staff team we have will make you feel satisfied and enrich your purposes. As for instances, the owner of Kitasa Tours has enough experience in tourism industry since 2015. He has been worked as a porter, and fluently he used to spend more as a full route guide to clients.
We have enough experience in the tourism industry, as a competent company in Tourism and Travels services in Tanzania, we provide best services and accommodations in all bases that make you feel fabulous and enjoy your trip.

II. Means of Communication

The medium of communication is through the company website, staff email addresses (found on website), verified company representatives, Agents, Social Media accounts and Chief Executive Officer (CEO). All means mentioned herein are found in official company website.

III. Payments and Booking

A booking deposit of 30% of the total payment of the trip has to be paid on the prescribed online payment methods and hence remaining balance of the total cost must be made online through company bank account or cash at the office when client arrives. Once we receive your deposit we will invoice you for the remainder of the tour cost.
By his/her own willing but not limited to, client can make the full payment of tour cost through online payment. When any inconvenient occurs, you can make alternative arrangements with the Company as soon as possible. If you do not pay your balance by the agreed time, the Company reserves the right to cancel your booking or pursue any unpaid money.

IV. The Change of Booking and travelling date

Client or company, through the following basis in respect of, can do this
i. For client(s) if it occurs purposely the changes after making the payments, and you decide to change your travel dates, you must/have to inform us of these changes no later than 60 days before the original starting date of your tour. Please keep it in your in mind, that any new proposed dates must fall within one year of your original travel dates.
ii. Furthermore, there is a room for the change from the further date to nearly date of trip, this is done in due respect of service charge of US 40$ for searching on availability of schedule requested.
iii. For a company, if it occurs for an inevitable reasons such as pandemic, political unrest among others, we will schedule the nearly chance basing on your will/wish rather the company will never change schedule unnecessarily.

V. Cancellation by the Company

Kitasa Tours reserves the right to cancel the contract between us for any reason prior to your payment of the full price of the trip. In this case, Kitasa Tours will refund in full any amount that you have already paid us. After you have paid in full, we will only cancel the contract if circumstances beyond our control make it inevitable. Such circumstances include, but are not limited to, civil or political unrest, terrorism, pandemic diseases, natural disaster, or other force majeure circumstance. In the unlikely event if such circumstances arise, Kitasa Tours will contact you immediately and offer you the choice of equivalent services or a full refund of all money paid. No additional compensation will be paid over and above the total sum that we received from you.

VI. Cancellation by the Client:

If it occurs you decide to cancel your travel arrangements with us, the following cancellation fees shall apply:
• 90% refund of your deposit if you cancel at least 90 days before the trip date;
• 80% will be refunded to you if you cancel between 61- 89 days before departure date
• 70% will be refunded to you if you cancel at least 60 days before the departure date;
• 50% will be refunded to you if you cancel at least 30 days before the departure date;
• No refund will be awarded if the booking is cancelled less than 7 days before arrival.
The Company informs you that there are some cancellations, which might partial be refundable such as hotel reservations or domestic air tickets since have different policies. There will be a deduction to the expenses of fund transfer such as banking commissions and credit card surcharges from the payments that you made to us.
Furthermore, there will be no refund made for all cancellations made in 7 or less days before the scheduled travel dates.

VII. ACCOMODATIONS

i. Accommodations in Hotels/Luxury Lodge
Our prices for the open group departures include accommodation on a sharing basis in double or twin rooms with your fellow traveler. If you travel alone, we will match you with a same-sex traveler to share a room. If you want to stay in your room alone, please inform our managers at the time of booking. Extra charges for single supplements apply.
Accommodation type and setup for our private adventures are agreed with our consultants individually.
Our safari and Kilimanjaro climbing tours include hotel accommodation described in the respective travel packages on our website. In some cases, however, those hotels may be fully booked. We will notify you and suggest an alternative hotel before confirming your tour and accepting payment.
ii. Tented accommodation on Safaris and Trekking/hiking
The tented accommodation is included in our packages, moreover the tented accommodation based on sharing of two (2) clients per tent. This is arranged on same sex with your fellow traveller but if you need to use single tent alone, please inform the office through the email when you are booking since there is extra charges for a single tent user.
Moreover, few Safaris and hiking such as Marangu route to Mt Kilimanjaro and Mt Meru, single tented accommodation is not possible because of the park regulations.

VIII. Luggage and Valuables

Kitasa Tours is not obliged to any lost or destroyed to valuables or luggage belonged to client. The Client must be aware of his/her baggage for the hiking and trekking. A client’s luggage has to be 12kg not more than that.
You are responsible to keep your valuables such as money, jewels, Air ticket, Laptops among others.
For the delay/lost of the luggage of client on airline, the company is not obliged to, rather the company will assist to take it (when it arrives) from Kilimanjaro Airport to the hotel or at the office and low amount of charges will be applied.

IX. Instructions from Guides

It is crucial and we recommend our clients to follow the instructions since guides are more familiar and experienced on all aspect of the area concerned, thus in order to avoid several tortious liabilities client has to obey and follow guide’s instruction/explanation.

X. The use of Photos/videos for Marketing

There might be the use of images or videos taken by employees altogether with clients in tourism activities. The company uses it for commemoration, marketing, advertisement or others tourism purposes and not otherwise, hence if a client disagree his/her photo or video to be used, please let us know hence, there is no payment in such activity.

XI. Choice of Law

Incase of any disputes or any legal implication from the contract between clients and company or third party, from the terms herein, the law to be used is domiciled. The Laws of The United Republic of Tanzania mainland.
